How To Check Meeting Overview / Meeting Dashboard ?

The Meeting Overview tab provides a centralized dashboard to manage and track all meetings categorized by their current status: Requests, Scheduled, Done, and Cancelled. Here’s a detailed explanation of each section and list:

1. Dashboard Summary (Display record according to 'Filter' )

  • Total Requests: Displays the total number of meeting requests submitted.
  • Total Scheduled: Shows the number of meetings that have been successfully scheduled.
  • Total Done: Reflects the total count of meetings marked as completed.
  • Total Cancelled: Indicates the total number of meetings that were cancelled.


2. Filter Options

  • Filter By: Allows narrowing down meetings based on specific categories:
    • Collective: View all meetings.
    • PTM: Filters for Parent-Teacher Meetings.
    • Others: Displays meetings that are not PTM-related.

3. Lists by Status

Each tab under the overview organizes meetings based on their current status. Here’s what each tab represents:

a. Requests 

Contains all meeting requests awaiting action.

  • Details Displayed:
    • Title: Subject or title of the meeting request.
    • Meeting D:T: Requested date and time of the meeting.
    • Agenda: Purpose or points of discussion for the meeting.
    • Requested Date: Date when the request was submitted.
    • Requested By: Name of the person who submitted the request.
    • Requested To: Target participant (student or employee).
  • Actions:
    • Accept  Icon: Approve and schedule the meeting.
    • Reject   Icon: Cancel the meeting request.
       
    • View Detail  Icon: Check meeting detail
       

b. Scheduled 

Displays meetings that have been confirmed and scheduled.

  • Filter By: Allows narrowing down meetings based on specific categories:
    • Collective: View all meetings.
    • Between Dates: Allows filtering meetings by a specific date range.
  • Details Displayed:
    • Title: Title of the scheduled meeting.
    • Meeting D:T: Scheduled date and time of the meeting.
    • Agenda: Purpose or points of discussion.
    • Mode: Indicates whether the meeting is In-Person or Remote.
    • Created By: Name of the person who scheduled the meeting.
  • Actions:
    • Done  Icon: Mark the meeting as completed.
    • Cancel  Icon: Cancel the scheduled meeting.
    • Reschedule  Icon: Reschedule the scheduled meeting
    • View Details  Icon: Check meeting detail

c. Done 

Lists meetings that have been successfully completed.

  • Details Displayed:
    • Title: Name of the completed meeting.
    • Meeting D:T: Date and time when the meeting was held.
    • Agenda: Purpose or points of discussion.
    • Mode: Indicates whether the meeting was In-Person or Remote.
    • Created By: Name of the person who organized the meeting.
    • Note: Additional remarks or notes about the meeting.
  • Actions:
    • View Details  Icon: Review details of the completed meeting.
    • Download File  Icon: Download attached file having notes or summary of the meeting (if available).
       

d. Cancelled 

Displays all meetings that were cancelled.

  • Details Displayed:
    • Title: Name or subject of the cancelled meeting.
    • Meeting D:T: Scheduled date and time before cancellation.
    • Agenda: Planned purpose or discussion points for the meeting.
    • Mode: Indicates whether the meeting was In-Person or Remote.
    • Created By: Name of the person who created the meeting.
    • Note: Reason or remarks for cancelling the meeting.
  • Actions:
    • Reschedule  Icon: Reschedule the canceled meeting
    • View Details  Icon: Check meeting detail

Search Functionality 

  • The search bar in each list enables users to search meetings by:
    • Title
    • Agenda
    • Created By
    • Requested By
    • Meeting Date/Time
    • Any other relevant keywords.
