How to View and Manage Applicant Stages
Purpose
The Applicant Stages sub tab provides a dynamic view of applicants categorized by their current hiring stage (e.g., Application Review, Interview or Onboarding). It allows recruiters to manage applicant progression efficiently, either by:

Moving them to the next stage

Returning them to a previous stage
-
Scheduling interviews
-
Sending customized emails (as per configuration in Hiring Stage Settings)
This section is crucial for streamlining the applicant pipeline from CV review to final onboarding.
Steps to Access Applicant Stages Panel
Login to the system and go to:
Control Panel > Hiring module > Hiring Overview
> Applicant Stages
1. View Applicants by Stage

On the left sidebar, all defined hiring stages appear (e.g., Application Review, Interview).

Each stage shows a count badge next to it (e.g., 5 applicants in "Application Review").

By default, the first stage is loaded.
Another Stage :
Understand Table Data
Each stage (except Interview) displays the following table fields:

Sr# – Row number
-
Applicant Name – Full name of the applicant
-
Father Name – As submitted in application
-
Gender – Male / Female
-
Contact – Mobile number
-
Email – Registered email
-
Vacancy – Job title applied for
-
Action –
-
Remove Stage (display only in first stage)
-
Change Stage
-
Move to previous stage (unavailable only in first stage)

Move Applicant to Next Stage:
-
Click the
icon under the Action column.

A modal popup titled “Add/Edit Next Hiring Stage” opens.

Fill the following:
-
Select Hiring Stage: Dropdown to choose the next stage.
-
Remark (Optional): Write any message to explain the move.
-
Date & Time: Choose when the applicant should progress.
-
Email: Edit the pre-filled onboarding/invitation message if configured.

Click Save.
Note: Email format and fields are based on the Hiring Stage Settings module.
Move Applicant to Previous Stage:

Click the
icon. A confirmation box will appear.

Click Yes to confirm and move the applicant one step back.
Delete Applicant from Stage:
-
Only available in the first stage (e.g., “CV Submission”).

Click the
icon.
-
Confirm action to remove the applicant from the current pipeline.
Interview-Specific Actions:
If the applicant is in the Interview Stage, additional options appear:
a. Schedule Interview

Click the
icon next to the applicant.

A Schedule Interview popup appears.

Fill in:
-
Select Interview Name
-
Date & Time
-
Interview Email (Editable invitation configured in settings)
-
Click Save to notify the applicant.
NOTE: An email will be sent to the registered email address provided in the applicant's record.
b. View Score & Rounds (List Table)

See columns like:

Interview Score: e.g., 148/150
-
Interview Rounds: e.g., 3/3

Troubleshooting Tips
Issue | Resolution |
---|---|
Email not triggered | Check if email templates are configured in "Hiring Stage Settings." |
Interview not scheduled | Ensure the applicant is already moved to the Interview Stage. |
No next stage showing | Hiring stages may not be configured correctly. Contact admin. |
